You quoted the job. Nobody called them back.
That is where contractors lose the most money, and it is a process problem before it is a software problem. We fix how your office runs, then connect the tools you already use, like your scheduling, estimates, and QuickBooks.
No pitch. You leave the call with two things to fix, whether or not you hire us.
Three steps. One firm does all three.
Assess
A written operations assessment: every gap in dollars per year, and a plan in priority order.
Fix the process
Remove, simplify, and standardize before any software. Most of the delay is not a tool problem.
Connect and automate
Then we connect what is left: new leads onto one list, estimate to contract to QuickBooks, job milestones to invoices, your books to a morning report. AI where it fits, such as answering after-hours calls or drafting follow-ups. It is a tool in this step, not the goal.
Fix the process first. Then automate what is left.
Most AI firms are paid to build something. We are paid to find out what you should not build, then build the rest.
Most fixes connect the tools you already pay for. When you need something new, you see the cost first. You do not have to change your software to fix your front office.
You already know the three places.
The phone rings after 5 PM.
Voicemail. By morning the homeowner hired whoever answered.
Quotes sit for three days.
Then nobody follows up, and the customer goes quiet.
Someone retypes everything.
Estimate to contract to QuickBooks, by hand, usually by the most expensive person in the office.
What your week looks like after.
Every call answered. Every quote followed up.
A missed call gets a text back in under a minute. A quote gets a follow-up on a schedule that stops when the customer replies. Contracts go out for signature from the quote.

One email at 6:30 AM that tells you where the money is.
Cash, what is owed to you and how late, what you owe this week, and the one decision that needs you. Read-only connection to your books; a person always sends the money.
Good morning. One thing needs you today.

A written report you could hand to your office manager on Monday.
Every finding has a dollar figure, how we would fix it, and what gets connected. Three pages from a sample for a fictional remodeling contractor.

The founder
Miami Shores, FL
Estimating, scheduling, crews, and chasing payments on one side. Rolling out systems to hundreds of people and making them stick on the other. Most AI rollouts fail because nobody planned the people side. That is the gap this firm works in.
We run every system on our own business before we sell it. Maya, the AI assistant that answers our phone and chat, is the same one we build for clients.
More about the founderSouth Florida trades and field service, $1M to $10M, 5 to 30 people.
Remodeling, roofing, HVAC, plumbing, electrical, pool, landscape, pest, garage door, restoration. Not under $1M, not over $10M, not outside the tri-county area. The depth comes from the niche.
Straight answers.
What does it cost?
The assessment is a flat $797, credited in full toward your build if you move ahead. Builds are priced from your own numbers: after the assessment you get a fixed written quote. Nothing is billed by the hour.
What if the assessment finds nothing worth fixing?
If the review call cannot show time or revenue worth more than the fee, we refund it.
Will you tell me not to buy something?
Yes, often. The first pass of every assessment is what to remove and simplify. If a process fix gets most of the result, the software stays on the shelf.
Do I have to switch software?
Usually not. Most fixes connect what you already have. When a new tool is needed, you see the cost before you buy it, and we set it up and train the office.
Where does AI come in?
Last, and only where it fits: answering the phone after hours, reading a document into the right fields, drafting a follow-up for a person to approve. Using AI is not the goal. A front office that does not leak is.
Will this replace my office manager?
No. It takes the retyping and the chasing off her desk so she can run the schedule. The systems record; people decide.
Do you need access to my bank or QuickBooks?
For the morning report, a read-only connection to your books. Nothing we build moves money. Payments are always sent by a person on your team.
What happens if I stop the monthly service?
Thirty days' notice. Your data is yours; we hand over an export and the credentials on request.
Find out where your front office is leaking.
Twenty minutes on the phone. No slides. If the assessment is not the right next step, we tell you who to call instead.
